Managing Visit Categories

In an Other/Cluster Visit, users can select a Visit Category and a Funding Category for the visit record.

Pendulum Administrators can manage these lists from the Admin menu, using either Visit Categories or Funding Categories.

Viewing your categories

Go to Admin and select either Visit Categories or Funding Categories.

You will see the categories currently set up in your system.

  • Categories are listed alphabetically by default.
  • You can reorder the list by clicking the column headings.
  • The table shows each category name, plus the term and group it is assigned to.

Before adding a new category

Before creating a new category, check how your existing categories are set up.

Important: If at least one category is assigned to a specific term, Pendulum will prioritise the term-specific categories for that term.

This means any categories set to No Term will be hidden for visits in that term.

Example:
If you have five existing categories set to No Term, then add a sixth category assigned to Spring 2021, the No Term categories will be hidden for Spring 2021 visits.

Best practice: If you want to use term-specific categories, create the full set of categories for that term. You can then copy them forward each new term.

Adding a new category

  1. Go to Admin > Visit Categories or Admin > Funding Categories.
  2. Click New Category.
  3. Enter a Category Name.
  4. Optionally assign the category to a specific Term and/or User Group.
  5. Click Add Category to save.

Not seeing the term or user group you expect?

  • Speak to your Pendulum Administrators, as they manage user groups.
  • Terms are set up by Support at the request of your Pendulum Administrators.

Editing categories

You can rename an existing category from the categories list.

  1. Go to Admin > Visit Categories or Admin > Funding Categories.
  2. Click Edit next to the relevant category.
  3. Update the name.
  4. Click Save Category.

Important: Renaming a category updates the name on all visits that use it. Because of this, we do not recommend renaming a category that has already been used on visit records.


Deleting categories

To remove a category from the selectable lists, click Delete.

Deleting a category will:

  • Remove it from the selectable lists going forward.
  • Not affect historic visits that previously used that category.

Copying categories

Use Copy Categories to quickly create copies of existing categories for a new term.

This is useful if your LA uses term-specific categories and wants to roll the same set forward into the next term.

  1. Go to the relevant term in your category list.
  2. Click Copy These Categories.
  3. Select the new term from the Term dropdown under Copy To.
  4. Click Copy Categories.

The categories for that term will be duplicated into the new term. You can then delete any categories that are not needed.
